Spreadsheets are brilliant. They got your business off the ground, tracked your first customers and managed your early finances. But as a business grows, the spreadsheets that helped it grow start holding it back. Here are five signs your business has outgrown spreadsheets and it is time to move on.
Quick self-assessment: If you recognise three or more of these signs, your business has outgrown spreadsheets. Even two means you are getting close.
Sign 1: Version Control Has Become a Nightmare
The symptom: You have files called "Budget_Final_v3_ACTUAL_USE_THIS.xlsx" and nobody knows which one is current.
Warning sign: If more than one person edits the same spreadsheet, or spreadsheets get emailed back and forth, you have a version control problem.

Warning sign: If you rely on complex formulas (chains of VLOOKUPs, nested IFs, links between sheets) for important calculations, one wrong keystroke can flow through to everything that depends on them.
Sign 3: Several People Need the Same File at Once
The symptom: Your sales team takes turns updating the quote tracker, and the warehouse has to wait for the office to finish updating stock before they can check it.
Warning sign: Once more than two or three people need to update the same data, spreadsheets start to fail you. Even online spreadsheets like Google Sheets struggle when several people make complex changes at once.
Sign 4: Reports Take Hours Instead of Minutes
The symptom: Your monthly management report means pulling data from half a dozen spreadsheets, cross-checking, formatting, and hoping the numbers add up.
Warning sign: If one report means opening several spreadsheets, or your regular reports take hours to put together, you have outgrown spreadsheet reporting.
Sign 5: You Cannot Meet Compliance or Audit Requirements
The symptom: Your auditor asks who changed a number and when, and you cannot say. Preparing the BAS means reconciling spreadsheets that do not match your accounting software.
Warning sign: If your industry has rules about who can see or change data, or needs a record of every change, spreadsheets make that very hard to show. That includes healthcare, financial services, construction safety records, and any business handling personal information under the Privacy Act.

How to Move Off Spreadsheets
Moving from spreadsheets to proper systems does not have to happen all at once. It works best in stages:

- Pick the one that matters most (1 week): Which spreadsheet causes the most trouble? Start there, rather than trying to replace everything at once.
- Choose and set up the replacement (2-12 weeks): Whether it is off-the-shelf or custom, get the first system running and proving its worth before you move on.
- Parallel run and cutover (2-4 weeks): Run old and new side by side, then make the spreadsheet read-only. Do not keep the old one going "just in case".

- Multi-user databases (they are not databases)
- Workflow management tools (they have no process logic)
- Systems of record for compliance (they have no audit trail)
- Real-time operational dashboards (they are always stale)
- Integration platforms (they cannot sync with other systems)
