AI for Accounting & Finance Teams
Practical, everyday uses of AI for the people who run the books

Less Typing, Same Control
Most finance teams spend a big part of every week on the same jobs: keying invoices, matching payments, chasing overdue accounts and writing the same month-end notes. AI is now good at the reading and drafting parts of that work.
It is not good at judgement, and it does make mistakes. So the way to use it is simple: AI does the first pass, a person checks it, and nothing posts to your accounts until someone has approved it. Xero and MYOB already do some of this themselves, and if that covers you, we will say so.
Practical Things AI Can Do Today
For each one: what AI does, and what a person still does.
Supplier invoices and receipts
AI: Reads each invoice, picks out the supplier, amounts and GST, and suggests the account, job or cost centre.
You: Check the suggestions and approve. Anything unusual is flagged for a closer look.
Payments that are hard to match
AI: Reads remittance emails and PDFs and suggests which invoices a payment covers, including part payments.
You: Confirm the match. Payments it can't place are left for you, not guessed.
Chasing overdue accounts
AI: Drafts polite, specific reminder emails from your aged debtors list, in your tone.
You: Review the list and send. You decide who gets a call instead.
Month-end notes
AI: Writes a first draft of the 'what changed and why' commentary from the numbers.
You: Correct it and add what only you know. It saves the blank page, not the thinking.
Expense claims
AI: Checks claims against your policy: missing receipts, amounts over limits, possible duplicates.
You: Deal with the flagged ones. Clean claims move straight through.
Unusual transactions
AI: Flags duplicates, odd amounts and changed supplier bank details before payment runs.
You: Check each flag. Changed bank details always get a phone call.
What AI Won't Do
Keeping expectations realistic.
- Replace your accountant or bookkeeper. It takes the repetitive first pass; people still make the decisions.
- Get everything right. It works from what it can read, so a person checks before anything posts.
- Fix messy data. If your chart of accounts or supplier list is a mess, that comes first.
- Need a big project. Most teams start with one task, run it beside the manual process for a few weeks, then decide.
How to Start
Pick one task
Choose something frequent and annoying, with a clear start and finish, rather than a broad AI programme.
Check what you already have
If your current software can already do it, we set that up instead of building something new.
Build it with a check step
AI does the first pass, a person approves, and your system records what happened.
Run it beside the old way
For a few weeks, compare results with the manual process before relying on it.
Then decide what is next
Keep it, adjust it, or move on to the next task if the first one has earned it.
