AI for accounting works best as a fast first pass on the repetitive parts of finance work. It can suggest how to code a supplier invoice, draft notes on bank reconciliation exceptions, write a first cut of month-end variance commentary, draft debtor follow-up emails, pull details out of remittances, statements and receipts, and summarise aged payables before a cash meeting. In every case a person still checks and approves the result. AI won't sign off your BAS, make judgement calls on provisions or replace the reconciliation itself. Xero and MYOB may already handle part of the job with features you aren't fully using.
The rule that makes AI useful in finance: AI drafts, a person approves
Finance work has two kinds of effort. One is reading, sorting, matching and writing the same sort of note for the hundredth time. The other is judgement: knowing the business, the clients and the rules well enough to decide what's right. AI is good at the first and unreliable at the second.
So the practical setup is simple. AI does the first pass and puts its suggestion in front of the right person. That person accepts it, fixes it or rejects it. Nothing posts to the ledger, goes to a customer or gets paid without a human approving it.
Before adding any AI tool, check what your accounting system already does. Xero bank rules, Hubdoc and Xero's own bill capture, and MYOB's invoice capture already automate a fair share of routine data entry. AI is most useful in the gaps those features leave, not as a replacement for them.
Seven everyday finance tasks: what AI drafts and what you check
1. Supplier invoice coding suggestions
Already handled: Hubdoc and Xero's bill capture read the supplier, date, amount and GST from a bill. MYOB's invoice capture does the same for bills you upload or email in. Both can learn from how you've coded that supplier before.
Where AI adds something: multi-line invoices, new suppliers, and bills that need splitting across jobs, departments or tracking categories. AI can read the line descriptions and suggest an account and tracking category for each line, with a short reason.
What a person checks: the account, tax code and tracking, especially for anything unusual, capital in nature or from a supplier you haven't used before.
2. Bank reconciliation exception notes
Already handled: bank rules and suggested matches clear the regular, predictable transactions.
Where AI adds something: the leftovers. AI can look at an unmatched deposit and draft a note such as "possibly a part payment of two open invoices for this customer", group similar exceptions together, and draft a query to the staff member who made a card purchase.
What a person checks: they decide what each transaction actually is and reconcile it. The AI note is a starting point for the investigation, not the answer.
3. Month-end variance commentary drafts
AI can compare the month's profit and loss against budget and the prior period, then draft plain-English commentary on the biggest movements. For example, if wages are well over budget, the draft might point out that the month had three pay runs instead of two.
What a person checks: the "why". Only someone who knows the business can say whether a variance is timing, a one-off or a real problem. The finance manager edits the draft and owns the final commentary.
4. Debtor follow-up email drafts
Already handled: Xero and MYOB can both send standard automatic invoice reminders.
Where AI adds something: the accounts that need a personal touch. AI can draft a follow-up that reflects the customer's history, what they've said before, any disputed invoices and the right tone for a long-standing client compared with a repeat late payer.
What a person checks: every email before it's sent. Nobody wants an automated message chasing a customer who paid yesterday or who is mid-dispute with your sales team.
5. Reading remittances and supplier statements
AI can read a customer remittance and list which invoices it's paying, including short payments. It can also compare a supplier statement against the bills in your ledger and list the differences: missing invoices, credits not yet entered, amounts that don't agree.
What a person checks: they resolve the differences, chase missing documents and apply the payments.
6. Expense receipt checks
AI can check each receipt against the claim and your expense policy before it reaches an approver. It can flag a missing receipt, a possible duplicate, GST claimed on an overseas purchase, a weekend restaurant bill or a claim over a set limit.
What a person checks: the approver still approves. The difference is they look at a short list of flagged items instead of every receipt line by line.
7. Summarising aged payables for cash meetings
AI can turn an aged payables report into a short brief: what's due this week and next, which suppliers are critical to operations, what's disputed or on hold, and which payments have early-settlement terms.
What a person checks: they decide who gets paid and when. That's a cash and relationship decision, and it stays with the business.

What AI won't do
It's worth being clear about the limits, because finance is where a confident wrong answer causes real damage.
- It won't sign off your BAS. AI can help prepare and check, but the lodgement and its accuracy remain your responsibility, or your registered agent's.
- It won't make judgement calls on provisions. Doubtful debts, warranty provisions, leave liabilities and stock write-downs depend on knowledge of the business and on professional judgement.
- It won't replace the reconciliation itself. It can explain exceptions. Someone still has to confirm the bank balance agrees and that every transaction is correctly treated.
- It won't always be right. AI can produce a plausible answer that's simply wrong. That's why the approval step is not optional.
- It won't fix messy data. If your chart of accounts is inconsistent or supplier records are duplicated, AI suggestions will inherit the mess.
Data handling matters too. Client and payroll data shouldn't be pasted into public AI tools. A proper setup controls where data goes, who can see it and what gets logged.
How to get started without making a mess
- Pick one task. Choose the one that frustrates your team most each month, such as supplier coding or debtor follow-ups.
- Use what you already pay for. Tidy up bank rules and bill capture in Xero or MYOB first.
- Design the approval step. Decide who reviews AI output and where it appears, ideally inside tools your team already uses.
- Measure against your own baseline. Note how long the task takes now, then compare after a few month-ends.
Connecting AI to Xero or MYOB and building the review step into your process is the work our AI workflow automation service covers. If you'd rather have your whole finance process mapped before choosing where to start, the $5,000 Process & Systems Audit produces a written report showing where the time goes.
Frequently asked questions
Is it safe to use AI with our accounting data?
It can be, if it's set up properly. That means not pasting sensitive data into public tools, using services with clear data-handling terms, limiting what the AI can access, and keeping a record of what it suggested and who approved it.
Will AI replace our bookkeeper or accountant?
No. It takes some of the repetitive reading, matching and drafting off their plate, so they spend more time on review, judgement and talking to the business. The approval step still needs someone who understands the numbers.
Does AI work with Xero and MYOB?
Yes. Both have APIs, so AI-assisted workflows can read data such as bills, bank transactions and aged reports, and prepare suggestions for a person to approve. Start with the built-in features first, then add AI where they fall short.
How much does AI for a finance team cost to set up?
Costs vary widely depending on the size of the business, how many systems are involved and how much needs to be custom-built. That's why we scope every project first and give you a fixed quote after a free initial chat.
If your finance team spends month-end on work that feels like it should be quicker, it's worth a conversation. Book a free initial chat and we'll talk through where AI could help, where your current systems already cover it, and where it's better left alone.
