From the Weighbridge to the Grower's Bank Account

Grower payments can be worked out automatically from the weighbridge tickets, receival dockets and quality results you already record. We connect those records to your price, grade and deduction rules, produce grower statements and RCTIs, and post the payments to Xero or MYOB, so nobody retypes a load and every figure can be traced back to a delivery.

In many agribusinesses, weights live in the weighbridge system, test or grading results somewhere else, and prices, deductions and levies in a spreadsheet. Someone pulls it together each pay run, builds the statements, then keys the same amounts into the accounts. In the busy season, that is where payments fall behind and mistakes creep in.

Built and supported by Kenomont: founder-led, with 20+ years building business systems, including real-time weighbridge integration we have run for a forestry export platform since 2015, where truck deliveries flow through to invoicing automatically.

Sound Like Your Pay Run?

These are the signs that grower payments are costing more time than they should.

  • Weighbridge or receival tickets are retyped into a spreadsheet to pay growers
  • Grade and quality results come from a different system and are matched to deliveries by hand
  • Freight, levies and advances are deducted in a spreadsheet only one person fully understands
  • Growers ring to query their statement and it takes hours to trace a figure back to a load
  • Grower statements are built in Word or Excel, then the same amounts are keyed into Xero or MYOB
  • Payments run late in the busy season because the paperwork can’t keep up
  • Farm or operations records and the accounts don’t agree, and the difference is found at year-end

Who This Is For

Businesses that receive product from growers and hold the records that set the price.

Packers and processors

Buying from many growers, with prices set by grade, size or quality, and payments that need to be right and on time.

Grain, hay and commodity receivers

Loads weighed and tested on arrival, with payments, deductions and levies worked out per delivery.

Grower groups and co-operatives

Advance and final payments, pooled pricing, and statements that members can follow.

Farming groups with several entities

Operations records from farm, packing or weighbridge systems that need to reach the right set of books.

Your Current Systems First

We won't build what your software already does. The problem is usually between systems.

What your current software may already do

Some receival, packing and farm systems produce grower statements, and many farm tools connect to Xero. If yours covers your price rules and posts correctly to the accounts, use it. We will check before building anything.

Where the gaps usually are

Weights in one system and quality results in another, price and deduction rules in a spreadsheet, RCTIs, levies, several entities, and getting it all into Xero or MYOB without retyping.

What we do

We connect the delivery records to your price, grade and deduction rules, produce the grower statements and RCTIs, and post the results to your accounting software.

How It Works

We run the new process alongside your current one until the figures match, and time the switch around your busy season.

1

Capture each delivery once

Weighbridge tickets, receival dockets and quality or grading results come from the systems that record them, matched to the grower and load.

2

Apply your price and deduction rules

Prices by grade or quality, freight, handling and storage charges, advances and levies are set up once and applied the same way to every delivery.

3

Produce grower statements and RCTIs

Each grower gets a statement with every delivery and adjustment shown, plus an RCTI where you have an agreement in place.

4

Bills or payments land in the right entity in your accounting software, ready for your normal pay run, with levies set aside to pay on.

5

Connect the rest of the farm records

Once deliveries flow, the same approach connects packing, payroll and farm management records to the accounts, so reports by crop, block or entity update themselves.

The RCTI side, including grower agreements and GST checks, is covered on our RCTI automation page.

Grower Payments FAQs

Usually the delivered weight or quantity, a price set by grade or quality results, and then deductions: freight, handling or storage charges, advances already paid, and any industry levies you collect on the grower’s behalf. The grower statement shows each delivery and each adjustment, so the grower can see how the payment was worked out.

Yes, if the weighbridge records the delivery against the grower and load. The weight, the quality or grade results and the price rules are combined automatically, and anything that doesn’t match, such as a ticket with no grower or a missing test result, is flagged for a person to check.

Not always, but many buyers and processors do, because they hold the weights and quality results that set the price. RCTIs have ATO conditions, including a written agreement with each grower. See our RCTI automation page for how that part works, and check your situation with your accountant.

Yes. Advance and final payments, payments split between entities or family members, and pooled pricing where the final price is only known later can all be set up as rules, with each grower statement showing what has been paid and what is still to come.

If your farm management or farm accounting tool connects to Xero or MYOB and covers what you need, keep it. We help when information sits in systems that don’t connect: a weighbridge, a packing shed or grading system, payroll for seasonal staff, or several entities that need to be reported together.

It depends on where deliveries are recorded, how many price and deduction rules you have, and how many growers you pay. We look at your current process first and give you a fixed quote after a free initial chat.
