Access Database Replacement

Move a business-critical Access database onto something supported, shared and connected

Migrating a Microsoft Access database to a modern system

It Works, Until It Doesn't

A lot of Australian businesses still run something important on a Microsoft Access database: quoting, jobs, stock, compliance records. It was usually built years ago by someone who knew the business well, and it has quietly become the system the business can't do without.

The risk is that it's fragile, it only works on a few office PCs, and very few people understand it. We help you decide whether to stabilise it, replace it with a product or rebuild it, then move the data across without losing anything.

Signs It's Time to Act

One or two of these is normal. Several at once means the database has become a business risk.

  • One person built it, and they have left (or will)
  • It regularly needs “compact and repair”, or the file corrupts
  • It is slow or unreliable over VPN or from home
  • The file is creeping towards Access’s 2 GB limit
  • It only runs on Windows PCs with Access installed
  • Data is keyed into it and then again into Xero or MYOB
  • There is no record of who changed what
  • People on site or on the road can’t use it

Four Ways Forward

There's no single right answer. It depends on what the database does and how many people rely on it.

Stabilise what you have

Split the forms from the data, move the tables to SQL Server and keep the Access screens. The cheapest option, and it buys time while you decide what comes next.

Off-the-shelf software

If the database does something standard, such as a CRM, job tracking or stock control, a ready-made product may fit. We will tell you if that is the better answer.

ERPNext alongside Xero or MYOB

If the database runs your operations (stock, jobs, purchasing, production), ERPNext can take that over while Xero or MYOB keep the accounts. Learn more

Rebuild as a web application

When the database is your process and no product fits, we rebuild it as a browser-based system: multi-user, usable anywhere, with an audit trail and an integration to your accounting system. Learn more

How a Replacement Runs

Whichever option you choose, the data is checked at every step.

1

Take stock of the database

We go through the tables, queries, forms, reports, VBA code and anything it links to. Most Access databases do more than anyone remembers, so this step finds the hidden jobs.

2

Choose the option

Stabilise, replace with a product, ERPNext or rebuild. You get a recommendation with the reasons and a fixed quote, not a sales pitch for the most expensive path.

3

Clean and migrate the data

Duplicates, broken links between tables and free-text fields that should be lists are cleaned up on the way across. Record counts and key totals are reconciled.

4

Build or configure, then run in parallel

The new system runs alongside Access for a period so your team can check results before relying on it.

5

Switch over

Access is set to read-only and kept as an archive. The new system becomes the one place the data lives.

Access Replacement FAQs

Not always. If it works, a handful of people use it in the office and someone understands it, stabilising it can be the right call: split the forms from the data, move the data to SQL Server and keep using the Access screens. Replacement makes sense when it is fragile, needs to be used remotely or by more people, or nobody left in the business understands how it works.

No. Every table is migrated, including history, and we reconcile record counts and key totals between the old and new systems before you switch. The Access file is kept as a read-only archive so you can still look things up.

Yes, and it usually should. Invoices, bills, contacts and payments can flow to Xero or MYOB through their APIs, so nobody re-keys what the database already knows.

It depends on how many tables, forms, reports and pieces of VBA code the database has, and which option you choose. Stabilising is the quickest; a full rebuild takes longest. We look at the database first and give you a timeline with the quote.

Some change is unavoidable, but a replacement should follow the way your team already works rather than force a new process on them. We run the new system alongside the old one for a period so people can check their work before switching over.

It depends on the size of the database and the option you choose. We look at it, then give you a fixed quote. The first conversation is a free initial chat. If you want a wider review of your systems first, the $5,000 Process & Systems Audit covers that.
