See How One Process Really Runs

Most businesses know roughly how a job becomes an invoice, or how a supplier bill gets approved and paid. Fewer know every step, who does it, which system it sits in and where the same details get typed in again. That detail is where the hours and the mistakes are.

In a half-day session we map one process from start to finish with the people who actually do it. We mark every hand-off and every place work is re-keyed (what we call double data entry), then leave you a clean process map and a draft SOP your team can use straight away.

It runs remotely or on site where practical, for a fixed price agreed before we start. Prefer to do it yourself? Our free process map and SOP templates are the same ones we use.

Who It's For

Owners and operations or finance managers of established businesses running on several systems and spreadsheets, where one of these sounds familiar.

Only one person knows how it works

When they are away, jobs stall, invoices wait or someone guesses. Nobody has written it down because nobody has had the time.

The same details are typed in twice

An order goes into one system, then again into the accounts, then into a spreadsheet so someone can see where it is up to.

Work waits in someone’s inbox

Approvals, dockets and timesheets get chased by email and phone, and nobody can say how long each step really takes.

Every person does it slightly differently

New starters learn by watching whoever is free, and small differences turn into credit notes and rework.

You are about to change systems or hire

You want the process clear before new software or a new person arrives, so they don’t inherit the workarounds.

You want an SOP that people will use

Written from how the work is done, by the people who do it, not a document filed and forgotten.

Good first candidates: job to invoice, order to dispatch to invoice, timesheet to pay to bill, or supplier invoice to approval to payment.

What You Get

Everything is written up in plain English and is yours to keep and change.

A clean process map

Every step from the trigger to the finished result, who does it and which system or spreadsheet it happens in, as a one-page swimlane diagram.

Hand-offs and re-keying marked

Each place the work passes between people or systems, and each place the same details are typed in again, highlighted on the map.

A draft SOP

The agreed way of doing it, written up in our SOP template: purpose, roles, steps in order and what to do when something unusual happens.

A short list of what to fix

The waits, double handling and error points we saw, in plain English, with the ones worth fixing first at the top.

A few counts to measure against

How often the process runs, how many hand-offs it has and roughly how long it takes, so any change can be checked later.

Files you own

The map and SOP in formats you can edit yourself. No software to buy and nothing tied to us.

Fixed price, agreed before we start. We confirm it after the free chat, once we know the process and whether it's remote or on site.

How It Runs

From first chat to finished map in about two weeks, depending on when your people are free.

1

Free initial chat (30 minutes)

You tell us which process is causing trouble. We check it suits a half-day session, agree where it starts and ends, and who should be there. Then we confirm the fixed price.

2

Short preparation

You send any forms, screenshots or spreadsheets the process uses. Optionally, the people involved fill in our one-week admin time tally sheet so we start with real numbers.

3

The half-day session

We walk the process step by step with the people who do it, on a shared screen or a whiteboard. We ask what really happens, not what the manual says, and mark each hand-off and each place details are retyped.

4

Write-up (within about a week)

We send the clean map, the draft SOP and the short list of what to fix. You check it with your team and we make one round of corrections.

Where It Can Lead

The map is useful on its own. If it shows something worth fixing, there are two natural next steps.

Fix that one workflow

When the map shows a hand-off between systems that keeps causing re-keying or waiting, a First Workflow Sprint fixes that one workflow: fixed scope, fixed quote, typically two to six weeks, handed over with an SOP. You own everything.

About the First Workflow Sprint

Look across the whole business

When the problem clearly runs wider than one process, the Process & Systems Audit looks at your key processes and systems together, counts where the hours go before anything changes, and gives you a written, prioritised plan. $5,000, fixed price.

See the audit

Neither is required. Plenty of businesses take the map and SOP and make the changes themselves.

Who Runs the Session

Kenomont is a business systems consultancy founded by Aaron Chambers, with more than 20 years of experience building and connecting business systems. We map processes the way we would before building anything: step by step, with the people who do the work, paying close attention to where information crosses from one system to another.

That work includes a purchase order approval system a large retirement living provider has used every day since 2014, and a forestry export and port management system that has received ticket data from the weighbridge system since 2015.

Process Mapping Session FAQs

It is a fixed price, agreed in writing before we start. We confirm it after a free initial chat, once we know which process it is and whether we are doing it remotely or on site. There are no hourly add-ons for the session itself.

One process, yes, when the right people are in the room. We pick a process with a clear start and end (for example job to invoice, or supplier invoice to payment) and agree the boundaries beforehand. If the free chat shows it is really three processes tangled together, we tell you and suggest which one to map first, or whether the audit is the better fit.

Most sessions run well over video with a shared screen. On site makes sense when the work is physical, such as a warehouse, yard or workshop, and travel is practical. We agree which before we quote.

The people who actually do each step, not just their manager. Usually three to six people across the roles involved, plus whoever owns the process. Everyone doesn’t need to stay for the full session; we can schedule people around their part.

Our free process map, SOP and work instruction templates are on the resources page, along with a one-week admin time tally sheet. Many businesses start there. The session is for when you want an outside person to run it, ask the awkward questions and write it up.

The map and draft SOP are yours, whether or not you work with us again. If the map shows a hand-off worth fixing between your systems, a First Workflow Sprint fixes that one workflow at a fixed quote. If it shows the problem is wider than one process, the Process & Systems Audit looks across the business.
