Pay, Bill and Profit From the Same Shift

Cleaning, security, maintenance and facility management contractors run on hours: many workers, many sites, many shifts, and award pay with penalties for nights, weekends and public holidays. The same shift has to produce a correct pay line, a correct client invoice and a cost against the right contract. When it is keyed or corrected in more than one place, those drift apart.

We connect your rostering, timesheet, payroll and accounting systems so one approved shift drives pay and billing, with a short list of exceptions for a person to check, and profit by site and contract you can see without a spreadsheet.

Kenomont has 20+ years of experience building and connecting business systems. We work with the rostering and payroll software you already run rather than selling you new ones.

Where the Pay Week Goes

If several of these sound familiar, the problem sits between your systems, not in any one of them.

  • The roster, the timesheets and the pay run each show different hours for the same shift
  • Weekend, night and public holiday penalties are checked by hand before each pay run
  • The client invoice is built separately from the hours you paid, so paid and billed hours never quite match
  • You know the business makes money overall, but not which sites or contracts carry the rest
  • Subcontractor licences, insurances and the sites they work on are tracked in a spreadsheet
  • A guard or cleaner can be rostered after their licence, induction or check has expired
  • Monthly client reports are pieced together from inspection apps, attendance and incident emails
  • Client work-order portals mean keying the same job, completion and invoice into their system and yours

Why It Happens

Almost every one of those problems comes back to four things. Here they are in contract cleaning and security terms, with the names you’ll hear for them.

Typed in again

Hours go into the roster, are adjusted on the timesheet, then keyed or exported into payroll and again into the client invoice. That is double data entry: the same information typed into two or more places, with a chance of a slip each time. What is double data entry?

Stops before it’s needed

A supervisor approves an extra shift or a call-out on site, but it never reaches the person doing the client invoice. When information is stuck in separate systems like this, it is often called data silos. What are data silos?

Systems disagree

The roster says 40 hours, payroll says 42 and the invoice says 38. Each system is right about its own copy. The fix is a single source of truth: one approved record of each shift that pay and billing both use. What is a single source of truth?

Numbers arrive too late

Contract profit is worked out at month-end or year-end, by which time a losing site has run for another quarter and the wage rise has already landed. What is near real-time reporting?

The Records Regulators Ask For

Facility services carry obligations that depend on records from several systems at once. Two examples:

  • Labour hire licensing in Victoria. The Labour Hire Authority says companies that supply workers to clean commercial premises are labour hire providers, that any subcontractors to a labour hire provider must also be licensed, and that the definition of providing labour hire services was amended from 1 October 2026. Penalties for using an unlicensed provider can exceed $660,000 for a corporation (Labour Hire Authority).
  • Portable long service leave. Victoria’s Portable Long Service Authority covers contract cleaning and security, and employers lodge returns each quarter (Portable Long Service Authority). Other states run their own schemes, so the hours have to come out of payroll per worker, per state, every quarter.

We don’t give legal or payroll advice; check your obligations with the regulator or your adviser. What we do is make sure the subcontractor, site and hours records those obligations depend on are kept once and can be pulled out when asked.

How We Help Facility Services Contractors

Start with the systems you already run; connect what they don’t do.

One approved shift for pay and bill

Approved hours flow from the roster and timesheet to payroll and to the client invoice from the same record, with differences flagged for a person before anything goes out. Learn more

Paid hours vs billed hours

A weekly view of hours paid against hours billed by site and client, so overtime, extra shifts and call-outs that never reached an invoice are caught while they can still be billed. Learn more

Profit by site and contract

Labour, on-costs, consumables and subcontractor costs brought together with revenue by site, so you can see which contracts make money and which need repricing. Learn more

Subcontractors and compliance records

Subcontractor licences, insurances, workers’ licences and inductions held in one place, linked to the roster so an expired record is flagged before the shift. Learn more

Contractor payments and RCTIs

Where subcontractors are paid from your records, recipient-created tax invoices produced from the same approved hours. Learn more

Client reports without the cut and paste

Inspections, attendance and incidents pulled together into the monthly report each client expects, from the systems your team already fills in. Learn more

Clean worker, site and client lists

Duplicate workers, old sites and mismatched client names cleaned up across rostering, payroll and the accounts, so the reports line up. Learn more

What It Looks Like When It’s Fixed

A supervisor approves an extra shift at a shopping centre on Saturday night. On Monday it is on the pay run at the right penalty rate and on the client’s invoice, from the same record. Nobody re-keys it.

Before the roster is published, anyone whose licence, induction or check has lapsed is flagged, and so is any subcontractor whose licence or insurance is out of date.

On Monday morning, you can see last week’s hours paid against hours billed, and the margin for every site and contract, from the same numbers payroll and the accounts use. That is what a single source of truth looks like in a contracting business.

How We Work

One process at a time, alongside your existing systems.

1

Follow one shift from roster to invoice

We map how a rostered shift becomes a timesheet, a pay line, a client invoice and a report today, including the spreadsheets and the workarounds.

2

Pick the biggest leak

Usually paid hours that never get billed, or the weekly reconciliation of roster, payroll and invoices.

3

Connect and automate

We build around your rostering, payroll and accounting systems, with alerts when hours, rates or records don’t match.

4

Check it against the old way

Your team compares pay runs and invoices both ways until everyone trusts the result.

5

Add site and contract reporting

Once the hours flow, profit by site and contract comes almost for free.

Not sure where to start? Our Process & Systems Audit maps how information moves through your business today and where it breaks.

Facility Services FAQs

Usually not. Rostering and award-interpreting tools do the pay calculation well. The trouble is usually between them: the mapping into payroll, site-specific arrangements, and the client invoice built separately from the same hours. We connect what you already run and only suggest a change when a system genuinely can’t do the job.

We are not payroll auditors or lawyers, so we don’t give advice on award entitlements; check those with the Fair Work Ombudsman or your adviser. What we do is make sure the hours, classifications and pay rules you have set up flow the same way from roster to timesheet to payroll every time, and flag anything that doesn’t match for a person to check.

Yes, that is often the main goal. We bring hours and pay from rostering and payroll, consumables and subcontractor costs from purchasing, and revenue from your invoices together by site and contract, so you can see which contracts make money each week.

It can. Victoria’s Labour Hire Authority says companies that supply workers to clean commercial premises are labour hire providers, that subcontractors to a labour hire provider must also be licensed, and that the definition was amended from 1 October 2026. Check how it applies to you with the Authority or your adviser. We help keep the subcontractor and site records you need in one place.

Costs vary with the number of systems and how much needs to be built, so we look at your processes first and give you a fixed quote after a free initial chat. If you want a full written map of your processes and systems first, our Process & Systems Audit is $5,000.

The pattern is the same in every industry: information typed in again, stopping before it’s needed, systems that disagree and numbers that arrive too late. See when your systems give different numbers.
