One Set of Hours, Dockets and Costs

Mining services businesses (drilling, civil and earthmoving, maintenance and shutdown crews, plant hire, labour hire and engineering) and small to mid-tier miners run on field data: timesheets with site allowances, plant hours, dockets, purchase orders and supplier invoices. It usually passes through a timesheet or docket app, a payroll platform, a job or maintenance system and Xero, MYOB or an ERP, and someone in the office reconciles them.

We connect those systems so approved hours and dockets flow once to payroll, to job and plant cost, and to the invoice, which is what client portals such as Ariba and Coupa check against the purchase order. For smaller miners, we bring site, contractor and finance data together so cost by site and contractor is visible without a spreadsheet.

Built and supported by Kenomont: founder-led, Gold Coast based, with 20+ years building business systems, including real-time weighbridge integration for a forestry export platform since 2015. We don't sell mining software; we work with the systems you already have.

Where the Office Time Goes

If several of these sound familiar, there is time and money to win back.

  • Timesheets with site allowances and rosters are keyed into payroll by hand
  • Plant hours and dockets are retyped into job costing and invoices
  • Portal invoices are rejected because they don't match the PO or the receipt
  • Cost by job, site or machine is only known after month-end
  • Worker and contractor records such as tickets and inductions live in spreadsheets
  • Several sites or companies are combined in Excel
  • Weighbridge and production figures are copied into reports
  • Royalty returns, emissions data and quarterly reports are rebuilt from spreadsheets each period
  • Cost per tonne is worked out in Excel from maintenance, fuel, payroll and production exports
  • Super is worked out after the pay run instead of with it

How We Help Mining Businesses

Start with the system you already run; connect what it doesn't do.

Use what your systems already do

Timesheet, payroll and job systems often have built-in links. We check what yours do and set them up properly before building anything.

Hours and dockets, entered once

Approved timesheets, plant hours and dockets flowing to payroll, job and plant cost, and invoicing from the same record, with differences flagged for a person. Learn more

Invoices that match the client's PO

Invoices built from the purchase order lines and the approved hours or receipts, with the supporting records attached, so client portals accept them first time. Learn more

Cost by job, site and machine

Labour, plant and supplier costs pulled together from the field systems and the accounts, so margin by job, site and machine is there each week. Learn more

Weighbridge and production data

Weighbridge tickets and production figures captured once and passed to invoicing, payments and reports. Learn more

Royalty, emissions and quarterly reporting data

Weighbridge, sales, fuel, energy and production data pulled together and reconciled to the ledger each month, ready for royalty returns, emissions and climate reporting, and quarterly reports. Learn more

One picture across sites

For smaller miners: site, contractor and finance data brought together so cost by site, contractor and period is visible without a spreadsheet. Learn more

How We Work

One process at a time, alongside your existing systems.

1

Follow the hours from site to invoice

We map how timesheets, dockets and plant hours become pay, job cost and invoices today, including the workarounds.

2

Pick the biggest time sink

Usually timesheets and dockets to payroll and invoicing, or portal invoices that keep getting rejected.

3

Connect and automate

We build around your timesheet, payroll, job and accounting systems, with alerts when something doesn't match.

4

Check it against the old way

Your team compares results until everyone trusts it.

5

Add reporting

Once the data flows, cost by job, site and machine follows.

Mining & Mining Services FAQs

Mining services contractors (drilling, civil, maintenance, plant and labour hire, engineering) and small to mid-tier miners. If you supply the major miners, we help your systems produce invoices their portals accept.

Usually because the invoice doesn't match the purchase order lines, the client hasn't receipted or approved the work yet, or the supporting records aren't attached. The fix is often further back: one set of approved hours feeding payroll, job cost and the invoice.

Yes. Your payroll platform applies the award or agreement; we connect the timesheet or roster system to it, and payroll to the accounts, so the hours are entered once.

Usually not. Most of the gains come from connecting what you already have. We'll tell you if a system genuinely can't do what you need.
