ERPNext + Xero & MYOB

Keep your accounting system. Run everything else in one place.

Xero and MYOB Do the Books. What Runs Everything Else?

Xero and MYOB are the standard for Australian accounts — your accountant knows them, GST and payroll just work, and there's no good reason to leave. But they were never built to run inventory, production, projects or purchasing. So that side of the business ends up in spreadsheets and a pile of add-on apps.

ERPNext fills that gap. It's an open-source ERP with no per-user licence fees that handles operations properly — and we customise it around how you work and connect it to Xero or MYOB, so the accounts stay where they are and everything else finally lives in one system.

Nothing changes for your accountant, your BAS or your payroll. ERPNext simply takes your operations out of spreadsheets.

Is It a Good Fit?

A strong fit if…

  • Xero or MYOB works for your accounts but your operations live in spreadsheets
  • You need real inventory, manufacturing or project costing
  • Off-the-shelf add-on apps don’t fit how you work, or you’re juggling several of them
  • You want to own your operational system and data, not rent per-user licences

Probably not needed if…

  • Xero or MYOB plus one add-on app already covers everything you need
  • You want a system you can switch on and never change
  • You need a large vendor’s local support desk and partner network

Everything Xero and MYOB Don't Do

One connected system for the operational side of the business.

Inventory & Stock

Multiple warehouses, batch and serial tracking, stock transfers, reorder levels and valuation — with stock values flowing to your accounts.

Manufacturing

Bills of materials, work orders, job cards and production planning, with material and labour costs captured against each job.

Projects

Tasks, timesheets, expenses and project billing, so cost and profitability are tracked per project instead of in a spreadsheet.

Buying & Selling

Quotes, sales orders, delivery notes and purchase orders in one connected flow — with the resulting invoices and bills sent to Xero or MYOB.

CRM

Leads, opportunities and customer history alongside quotes and orders, not in a separate tool.

Workflows & Assets

Approval workflows for purchases and quotes, plus asset registers and maintenance — shaped around how your team actually works.

What We Do

ERPNext is a solid base. The value is in shaping it to your processes and getting the numbers flowing cleanly into your accounts.

1

Fit check and scoping

We look at how you work today, what Xero or MYOB already covers, and where ERPNext would fill the gaps — and tell you plainly if an add-on app would do the job instead.

2

Configuration

Items, warehouses, workflows, print formats and user roles set up for your business, mapped to the chart of accounts in Xero or MYOB.

3

Customisation

Custom fields, workflows, reports, dashboards and new document types for the processes that make your business different — built as a separate app so upgrades stay clean.

4

Xero / MYOB integration

The connection that makes it work: invoices, bills, payments and stock journals posted to your accounts, with contacts and accounts kept in step and checks so the two systems agree.

5

Data migration

Items, stock on hand, customers, suppliers and open orders moved in from spreadsheets or your current tools, checked against the source before go-live.

6

Training and support

Training built around your own processes, and ongoing support and enhancements as the business changes.

ERPNext FAQs

No — and for most Australian businesses we recommend you don’t. Xero or MYOB stays your accounting system: GST, BAS, payroll, bank feeds and your accountant’s access all stay exactly as they are. ERPNext runs the operational side, and the two are connected so sales, purchases and stock values flow into your accounts.

ERPNext is an open-source ERP system built on the Frappe Framework. It covers inventory, buying and selling, manufacturing, projects, CRM and assets, and can be self-hosted or run on managed cloud hosting. Because it is open source, there are no per-user licence fees — you pay for hosting, implementation and support.

That’s decided during scoping, but typically customer invoices, supplier bills and payments created in ERPNext are sent to Xero or MYOB, along with stock and cost-of-goods journals. Customers, suppliers and the chart of accounts are kept in step so both systems agree. Your accountant keeps working in Xero or MYOB as normal.

Those systems replace your accounting software and charge per user. ERPNext can sit alongside the accounting system you already have, has no licence fees, and because the code and data model are open, it can be customised much further — new document types, workflows, reports and integrations built for your business.

Almost everything: custom fields and forms, approval workflows, print formats for quotes and delivery dockets, reports and dashboards, new document types for processes ERPNext doesn’t cover out of the box, and integrations with your other systems. Small changes are configuration; larger ones are built as a separate custom app so they survive ERPNext upgrades.

Your choice. ERPNext can run on managed cloud hosting, on your own cloud server, or on-premise. We’ll recommend an option based on your size, how much customisation you need and who will look after it day to day.
