Your Margin Depends on the Real Cost

Landed cost calculation adds freight, duty, customs and currency costs to what you paid the supplier, so your stock cost and margins reflect what products really cost you. We connect your inventory system, freight and broker invoices, warehouse, online store and Xero or MYOB so landed costs are applied to the right shipment, backorders are managed in one place, and stock figures agree.

Most inventory systems can handle landed cost if every cost is entered against the right purchase in time. In practice, the forwarder's invoice arrives weeks later, the broker bills in a different format, someone pays both in Xero or MYOB, and the stock has already been sold at a margin based on the supplier price alone. Add several sales channels and a separate warehouse system, and stock and backorders drift apart as well.

Sound Familiar?

These are the signs that landed cost, backorders and stock are falling between your systems.

  • Landed cost is worked out in a spreadsheet for each shipment, by the one person who knows how
  • Freight forwarder and customs broker invoices go straight into Xero or MYOB and never reach the stock cost
  • Margins look healthy in the inventory system and thin in the accounts, and nobody can say why
  • Exchange rates are guessed at receipt and never corrected
  • Backorders are tracked in a spreadsheet, an inbox and the sales system, and customers chase their orders
  • The warehouse, the online store and the inventory system each show a different stock figure
  • Stock on hand in Xero or MYOB doesn’t match the inventory system at month-end

Who This Is For

Businesses that buy stock in, hold it, and sell it through more than one channel.

Importers

Stock bought overseas in foreign currency, shipped by sea or air, with freight, duty and broker charges that arrive separately.

Wholesalers and distributors

Selling to trade customers and retailers from one or more warehouses, with backorders and part shipments a normal part of the week.

Brands selling online and to trade

An online store, retailer orders and reps all drawing on the same stock, with a third-party warehouse in some cases.

Businesses running Cin7, Unleashed or similar

An inventory system that does most of the job, with spreadsheets filling the gaps between it, the warehouse and the accounts.

Your Inventory System First

We won't build what your software already does. The problem is usually between systems.

What your inventory system may already do

Cin7, Unleashed and similar products handle stock, purchasing, backorders and landed costs on purchases. If yours covers your process and the team uses it fully, set it up properly first. We will say if that is enough.

Where the gaps usually are

Late freight and duty invoices that never reach the shipment, a warehouse system or third-party logistics provider with its own stock figures, several sales channels, and the link back to Xero or MYOB.

What we do

We connect the inventory system, warehouse, online store and accounts, match costs to shipments, and flag stock figures that don’t agree, so you fix them before a customer finds them.

How It Works

We run the new process alongside your current one until the figures match.

1

Follow a shipment from order to sale

We map how a purchase order, supplier invoice, freight, duty and broker charges, receipt and first sale are recorded today, and where each figure lives.

2

Agree the landed cost rules

Which costs are included, how freight is shared across products, which exchange rate applies, and how late costs are adjusted, agreed once with your accountant.

3

Match costs to shipments

Forwarder, broker and freight invoices are matched to the shipment they belong to, so landed cost is calculated from actual costs, not just the supplier price.

4

Keep backorders and stock in step

Orders from every channel reach the inventory system, backorders are allocated in one place, and stock levels are passed to the warehouse and online store as they change.

5

Reconcile with Xero or MYOB

Stock value and cost of sales are checked against the accounts, with differences flagged for a person, so month-end numbers match and margins reflect the real cost.

Landed Cost & Stock FAQs

Landed cost is what a product really cost you by the time it reaches your shelf: the supplier price converted to Australian dollars, plus freight, insurance, customs duty, customs broker and port charges, and local delivery to your warehouse. GST paid on imports is usually claimed back, so it is normally left out of stock cost. Confirm what to include with your accountant.

Common methods are by value, by weight or volume, or by quantity. Duty is usually worked out per line because rates differ by product. The right method depends on what you import; once it is agreed, the landed cost calculation applies it the same way to every shipment.

You may not. Both let you add freight and other costs to a purchase so they flow into stock cost, and if your team records them there consistently, that may be all you need. The trouble usually starts when the freight forwarder and customs broker invoices arrive weeks later, in another currency, go straight into Xero or MYOB, and never get linked back to the shipment. That gap is where we help.

That is common with imports. The usual approach is to use an estimate at receipt and adjust when the actual invoices arrive, with the difference handled the way your accountant prefers. We build the matching so late costs are found, allocated to the right shipment and adjusted, rather than left sitting in a general freight account.

Yes. When orders come from reps, an online store, retailers and the phone, backorders can end up tracked in different places. We connect the channels to your inventory system so backorders are allocated in one place, the warehouse sees what to pick when stock lands, customers are told, and deposits or part-invoices line up in the accounts.

It depends on how many systems are involved, how your shipments and costs are recorded, and how much matching is needed. We look at your setup first and give you a fixed quote after a free initial chat.
