Outgrowing Cin7 or Unleashed? Signs, Alternatives and How to Decide

22 October 2026 Kenomont Team Business Strategy, Systems Integration

Many businesses searching for a Cin7 alternative or an Unleashed alternative haven't outgrown the software. They have outgrown how it was set up, or the connections around it. You have genuinely outgrown an inventory app like Cin7, Unleashed or the stock features in Xero or MYOB when the way you trade needs things the product doesn't do: several warehouses with transfers in between, customer-specific pricing and rebates, batch or serial tracking, real manufacturing, landed costs or a lot of electronic orders from retailers. The options are to stay and fix the setup, move up to a mid-market system such as MYOB Acumatica or NetSuite, or run an operations system such as ERPNext alongside Xero or MYOB. This article covers how to tell which situation you are in, what moves and what breaks if you switch, and how to decide.

Signs you have genuinely outgrown your inventory app

These point to a real fit problem rather than a setup problem:

  • Several warehouses or sites. Transfers between locations, stock in transit and site-level reorder points are handled in spreadsheets because the app's version doesn't match how you work.
  • Complex B2B pricing. Contract prices by customer, volume breaks, buying groups and rebates paid back to customers or claimed from suppliers are tracked outside the system.
  • Batch, lot or serial tracking that matters. Recalls, expiry dates or warranty claims need you to trace a batch from supplier to customer, and the app's tracking is patchy or relies on staff picking the right batch by hand.
  • Real manufacturing. Multi-level bills of materials, work orders, scrap and labour costs go beyond simple assemblies or kits.
  • Landed cost. Freight, duty and exchange rates have to be spread across imported stock, and the app's method doesn't fit your shipments. Our guide to landed cost covers the calculation.
  • Electronic order volume. Orders from Coles, Woolworths, Bunnings or Metcash arrive by EDI (electronic data interchange) and your connector struggles with the volume or the retailer's rules.
  • Month-end reconciliation pain. The stock value in the inventory app and the inventory account in Xero or MYOB never quite agree, and closing the month depends on one person's spreadsheet (see why your stock value doesn't match Xero or MYOB).

One or two of these on their own often have a fix inside the current system. Several at once, getting worse as you grow, is the sign to look seriously at options.

When it isn't the software's fault

Before replacing anything, check whether the pain comes from the setup:

  • Account mapping and tax codes between the inventory app and the accounts are wrong, so the numbers drift every month.
  • Process habits, such as editing documents after they have synced, or posting journals straight to the inventory account in Xero, break the link between the two systems.
  • Add-on apps were bolted on one at a time, and nobody owns how they fit together.
  • Reports are rebuilt in Excel because nobody set up the reporting the product already has, or because the data lives in three places.

Moving to a bigger system won't fix any of these. You would carry the same habits into a more expensive platform with a longer implementation. Often the right first step is a clean-up of setup, controls and integrations.

Your realistic options

Stay and fix the setup

If most of your pain is in the list above, stay. Get the mapping, the processes and the integrations right, and add proper reporting. This is the cheapest path and the least disruptive. Cin7, Unleashed and similar products are good at what they do, and many businesses should stay on them for years.

Move up to a mid-market system

MYOB Acumatica (formerly MYOB Advanced), NetSuite and similar systems hold the accounts, inventory, purchasing and sales in one system. They suit businesses with several entities, warehouses, complex pricing and stronger controls. The trade-off is cost, a longer project and moving your accounts as well as your stock. Our guide to moving up from Xero or MYOB covers the accounting side of that move.

Run ERPNext alongside Xero or MYOB

ERPNext is open-source software that can run inventory, manufacturing, purchasing and sales, while Xero or MYOB keeps the accounts. Your accountant stays in a system they know, and the operational detail lives in a system that can be configured to how you work. See ERPNext with Xero or MYOB for how the split works, and our ERPNext implementation page.

Move to a different inventory app

Sometimes a different product in the same class fits better, for example one with stronger manufacturing or batch tracking. Check the specific gap you have against the new product before you move, not the feature list.

What moves and what breaks

A change of inventory system is mostly a data and connections project. Plan for these:

  • History. Most moves bring across products, customers, suppliers, price lists, stock on hand with its cost, and open orders. Full transaction history usually stays behind, kept read-only or exported for reporting. Decide what you need before you start.
  • Stock value at cutover. The stock value in the new system must match the inventory account in Xero or MYOB on the cutover date. Reconcile both sides first, or you carry the old difference into the new system.
  • Integrations. Every connection to the old app has to be rebuilt or replaced: the online store, EDI, freight and courier booking, the warehouse scanners, the accounts and any custom reports. List them all early. This is where most surprises come from.
  • Reports. Reports staff rely on, such as margin by customer, slow-moving stock or rebate statements, need rebuilding. Agree which ones matter most and check them against the old system before go-live.
  • People. Warehouse and sales staff change how they work every day. Run the two systems side by side for a short period if you can, and pick a quieter month to switch.

How to decide

  1. Write down the problems, in your own words, and who feels each one.
  2. Sort them into setup, process, integration and genuine product limits.
  3. Fix the cheap ones first. If that removes most of the pain, stop there.
  4. For what is left, test options against your real cases: your messiest customer pricing, your batch-tracked product, your busiest EDI day. Not a demo with sample data.
  5. Count the whole cost: licences, implementation, data migration, rebuilding integrations and staff time.

Frequently asked questions

What is the best Cin7 alternative in Australia?

It depends on why you want to leave. If the problem is setup or integrations, fixing those is cheaper than moving. If you need several entities, complex pricing and stronger controls in one system, mid-market systems such as MYOB Acumatica or NetSuite are common choices. If you want to keep Xero or MYOB, an operations system such as ERPNext alongside them is another option.

Is there an Unleashed alternative for manufacturing?

Yes, several inventory and ERP products have stronger manufacturing features. Before moving, check whether your manufacturing needs multi-level bills of materials, work orders and labour costs, or whether simple assemblies are enough.

Have we outgrown Xero inventory?

Xero's built-in inventory tracking suits simple stock. If you need several warehouses, batch tracking, assemblies or landed costs, you have likely outgrown it, and an inventory app or an operations system alongside Xero is the usual next step.

Can we keep our transaction history if we move?

Usually not in full. Most moves bring across master data, stock on hand and open orders, and keep the old system or an export for history and reporting.

How long does a move take?

It depends on the number of warehouses, integrations and reports. Rebuilding integrations and checking stock values usually take longer than setting up the new system itself.
