AI for Tradies: What Actually Helps (and What Doesn't)

15 October 2026 Kenomont Team Construction Technology, Business Strategy

For most trades businesses, AI is useful today for a handful of everyday office jobs: writing up quotes and job notes from rough descriptions, reading supplier invoices and receipts, answering routine customer emails, and summarising what happened on a job. It isn't going to price a job for you, run your schedule unsupervised or replace the person who knows your customers. The best place to start is the AI already built into the software you use, such as your job management app, Xero or MYOB, or Microsoft 365, before paying for anything new. This guide covers what works, what doesn't, and when it's worth getting help to connect it all.

Where AI genuinely helps a trades business

Turning rough notes into tidy paperwork

You describe the job in a few words or a voice note on site, and AI drafts the quote description, job notes or a customer email in plain English. You check and send it. This alone saves office time for many businesses.

Reading invoices and receipts

Supplier invoices and receipts arrive as PDFs, photos and emails. AI can read them, pull out the supplier, amounts and line items, and suggest which job and account they belong to. A person approves before anything posts to Xero or MYOB.

Answering routine customer questions

Booking confirmations, "when will you arrive", "what's included in the quote". AI can draft replies from your job information for someone to check and send.

Summarising jobs and reports

Pulling together what happened on a job (hours, materials, notes, photos) into a short summary for the customer, the builder or your own records.

What AI won't do for you (yet)

  • Price jobs on its own. It doesn't know your labour rates, margins, suppliers or site conditions. Use it to write the quote, not to set the price.
  • Run your schedule unsupervised. Scheduling depends on judgement about people, travel and customers. Your job management system and a person still do this better.
  • Fix messy data. If job codes, materials lists and customer details are inconsistent, AI will make confident mistakes. Clean data comes first.
  • Replace your accounts. AI can help code transactions; your accountant and your accounting software still do the books.

Start with what you already have

Before buying a new AI tool, check what's already included:

  • Your job management app (for example simPRO, ServiceM8, AroFlo, Tradify or Fergus) may already include AI features for notes, quotes or summaries, or be adding them.
  • Xero and MYOB are adding AI features for coding transactions and answering questions about your numbers.
  • Microsoft 365 or Google Workspace include AI writing help in email and documents on many plans.

For a small trades business, these built-in features are often all you need.

When it's worth doing more

AI starts to pay off in a bigger way once a business has more jobs and more office staff, and information is spread across several systems:

  • invoices and receipts processed in volume, with AI reading them and a person approving,
  • job information flowing from the field app into Xero or MYOB without retyping,
  • regular reports such as job profitability and work in progress pulled together automatically,
  • customer communications drafted from live job data.

That's where connecting the systems properly matters more than any single AI tool, and it's the kind of work we do. See AI for construction businesses and connecting your job system to your accounts.

Frequently asked questions

What is the best AI tool for tradies?

For most trades businesses, the best starting point is the AI already built into the tools you use: your job management app, your accounting software and your email. Add a separate AI tool only when you have a specific job it does better.

Can AI write quotes for my trade business?

It can write the quote wording quickly from your notes, but it shouldn't set the price. Use your own rates and margins for pricing, and let AI handle the description and presentation.

Is AI safe to use with customer information?

Use business versions of AI tools that don't use your data to train their models, keep personal information to what's needed, and check your software provider's privacy terms. Avoid pasting sensitive customer or employee details into free consumer tools.

Do I need a consultant to use AI in my business?

Not to get started. Built-in features and simple tools are easy to try yourself. Help is worth it when AI needs to work across several systems, such as reading invoices into Xero or MYOB with approvals, or building reports from job and accounting data.
