In wholesale and distribution, AI is most useful for the first pass on repetitive work. It can turn customer order emails and PDFs into draft sales orders, check supplier price lists against your current cost, clean up product data, match supplier invoices to purchase orders and receipts, suggest reorders, draft overdue-account reminders and sort freight queries. In every case a person reviews and approves before anything changes in your system. AI won't set your prices, run your warehouse or fix messy data on its own. Some of these jobs are already handled well by Cin7, Unleashed, Xero or MYOB, so it's worth checking those first.
Where the time actually goes in a wholesale business
Most wholesalers don't lose time on big decisions. They lose it on small, repeated handling of the same information.
- An order arrives as an email or PDF and someone types it into the system. This is double entry (the same information typed into two systems).
- A supplier sends a new price list and nobody checks it properly before costs change. The information stops before it reaches the people who set sell prices.
- The stock system, the accounts and the online store disagree on what's in stock and what it costs. These are data silos (information held in separate places that don't talk to each other).
- Margin by customer arrives weeks late, after month-end, when it's too late to act.
AI can help with each of these, but only as a first pass. The value comes from reducing retyping and catching problems early. If you want the wider picture of how these systems fit together, see our wholesale and distribution industry page.
Seven practical uses of AI in wholesale and distribution
1. Customer order emails and PDFs into draft sales orders
Many trade customers still email a PDF purchase order or a quick list in the body of an email. AI can read it and pick out the customer, delivery address, products, quantities and requested date. It then creates a draft sales order. For example, if your customer uses their own product codes, the AI looks them up against a cross-reference table of their codes and your SKUs. Anything it can't match is flagged rather than guessed. Your sales team reviews the draft and confirms it.
If you already take orders through a B2B portal or EDI in Cin7 or Unleashed, those orders don't need AI at all.
2. Supplier price-list updates checked against current cost
Suppliers send price lists in their own layouts, often as spreadsheets that change format each time. AI can map the columns to your products and compare new prices with current cost. It then flags anything that moves beyond a tolerance you set. It can also highlight which customer contract prices would now fall below your margin floor. Your buyer approves the cost update before it goes in. This matters because a price change that nobody notices quietly erodes landed cost (the purchase price plus freight, duty and other costs to get stock on your shelf) for months.
3. Product descriptions and data clean-up for the online store
AI is good at drafting consistent product descriptions from supplier spec sheets. It can also spot data problems: duplicate SKUs, mixed units of measure, or missing weights and dimensions that break freight calculations. A person still checks every description, especially anything about safety, compliance or technical specifications. AI can state things confidently that aren't true.
4. Matching supplier invoices to purchase orders and receipts
Three-way matching means checking the supplier invoice against the purchase order and the goods receipt before you pay. Xero and MYOB can already capture bill details, and Cin7 and Unleashed hold the purchase orders and receipts. AI is useful in the gap between them. It can explain why something doesn't match, for example a short delivery, a price difference or a freight line that wasn't on the PO. It can also help tidy up GRNI (goods received not invoiced: stock you've received but haven't been billed for yet), which is often where month-end gets stuck. Your accounts team approves each match.
5. First-pass reorder suggestions a buyer approves
Cin7 and Unleashed both let you set reorder points (the stock level that triggers a new purchase) and produce purchasing suggestions. Use those. AI can add context the reorder report doesn't see. For example, it might notice a supplier email advising longer lead times, or a customer email mentioning an upcoming promotion. It then adjusts the draft purchase order and explains why. The buyer decides. AI won't reliably forecast demand for a new product or a one-off spike it has no history for. If you're still choosing inventory software, our Cin7 vs Unleashed comparison may help.
6. Chasing overdue accounts with drafted reminders
Xero and MYOB both have built-in invoice reminders, and for routine chasing they're enough. AI helps with the harder cases. Say a customer replies that they won't pay because a delivery was short. AI can read the reply and pull up the delivery docket and proof of delivery. It then drafts a response for your credit controller to check and send. It never sends anything on its own.
7. Freight and delivery query triage
"Where's my order?" emails pile up quickly. AI can sort incoming queries into tracking requests, damage claims and address changes. For tracking requests, it looks up the dispatch record and carrier tracking and drafts a reply. Damage claims and anything unusual go straight to a person.
What AI won't do
It's worth being honest about the limits:
- It can't use information it can't see. If orders live in an inbox, stock in a spreadsheet and costs in Xero, AI inherits those data silos. Connecting the systems often comes first.
- It doesn't make commercial decisions. It doesn't set prices, approve credit or choose suppliers. It prepares the work and a person decides.
- It makes mistakes. Badly scanned PDFs, handwritten notes and unusual layouts will trip it up. That's why every step has a review queue.
- It isn't worth adding where your software already does the job. Built-in reorder reports and invoice reminders are cheaper and simpler.
- It won't fix a broken process. If nobody agrees how a return should be handled, AI will just do the confusion faster.
What it looks like when it's fixed
When orders, price changes and supplier invoices flow into your systems without retyping, you get closer to a single source of truth (one place everyone takes the number from). In practice, on Monday morning you can see last week's margin for every customer. That margin is based on current landed cost, not last quarter's price list. Your sales team stops keying orders and spends that time talking to customers. Your accounts team starts month-end with GRNI already explained. Reducing double entry is usually where this starts. Our page on how to eliminate double data entry covers it in more detail.
Where to start
Pick one task that's repetitive, high-volume and easy to check. Customer order intake or supplier invoice matching are good candidates. Check first whether Cin7, Unleashed, Xero or MYOB already handles it. Then set up AI as a first pass with a clear review step, and run it alongside your current process until your team trusts it. Our AI workflow automation service is built around exactly this approach.
Frequently asked questions
Do we need to replace Cin7, Unleashed, Xero or MYOB to use AI?
No. AI works alongside your existing systems, reading documents and preparing drafts that go into the software you already use. Replacing systems is rarely the first step.
Will AI send orders or emails to customers by itself?
Not the way we set it up. The AI prepares drafts and flags exceptions, and a person approves before anything is sent or saved.
Is our product and customer data good enough?
Often it needs some tidying first, especially SKU cross-references, units of measure and customer pricing. The good news is that AI can help find those problems as part of the clean-up.
What about the privacy of our customer and supplier data?
We check where data is processed and how the AI provider handles it before anything is set up. Business AI services often offer settings that keep your data out of model training, and we use those where they're available.
How much does this cost?
Costs vary widely depending on the size of the business, how many systems are involved and how much needs to be custom-built. That's why we scope every project first and give you a fixed quote after a free initial chat.
If your team spends its days retyping orders, chasing price changes or untangling supplier invoices, we'd be glad to talk it through. Book a free initial chat or call us on 1300 470 091.
